Office Administrator
JOB SUMMARY
BANKW Staffing is a leading, full-service staffing agency specializing in connecting talented professionals with top-tier employers. We are seeking two detail-oriented, self-motivated Office Administrators to join our dynamic teams (one in our Springfield office and the other in Westborough). In this role you will play a crucial role in ensuring the smooth daily operation of the office by handling administrative tasks and providing support for our recruitment and sales teams. The ideal candidate will be highly organized, proactive, and able to multitask effectively in a fast-paced environment.
Key Responsibilities
- Professionally answer, screen and transfer inbound phone calls & greet and assist visitors
- Process employment applications, new hire paperwork, background screens, employment verifications, and onboarding for candidates
- Ensure administration processes work effectively and suggest improvements
- Resolve administrative problems and inquiries from staff
- Ensure electronic and hard copy filing systems are maintained and current
- Assist with document formatting using MS Word, Adobe, DocuSign, Share Point and other electronic platforms
- Monitor and maintain office supplies inventory and order new supplies
- Organize orientation and administrative process training of new staff members
- Technical liaison and basic troubleshooting
- Prepare, print and distribute ad-hoc reports, memos or emails
- Maintain a clean and tidy presentation of the lobby, kitchen and office areas
- Schedule and coordinate meetings, open houses, and appointments
- Retrieve, sort and distribute incoming mail
- Support all members of general management as needed
- Potential travel between office locations as needed
- Add companies, contacts, and/or candidates to database as requested
- Format resumes, attach references and required documents to database, send assessments as requested
Qualifications:
- Associate’s degree in business administration or related field required; Bachelor’s degree preferred
- At least 2 years of related administrative experience, preferably in staffing or HR environment
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Professional phone presence & warm and friendly demeanor
- Ability to maintain confidentiality and handle sensitive information
- Positive attitude & strong work ethic
- Ability to work independently and as part of a team
The Office Administrator roles are full-time direct hire opportunities (one based in Springfield, the other in Westborough). Schedule allows for one remote day, with four days on-site in each respective location. The salary range is $50,000-$60,000 depending on experience.
