Assistant

JOB SUMMARY

Do you have exceptional administrative & event management skills, strong technical proficiency and a desire to work in an academic environment? This part-time contract role within an academic institution could be just the right opportunity for you! The Event Assistant will provide support in the planning and logistics of an upcoming annual conference, including:

  • Planning, developing, and managing the processes of approving and scheduling student presentations
  • Serving as production manager, working closely with venue staff, vendors, and AV team; handling any issues and troubleshooting problems with set up and day-of conference activities
  • Supporting conference logistics; venue and equipment rentals, facility needs and set up, AV requirements, and catering arrangements
  • Recruiting, assigning, training, and collaborating with staff, faculty members, and students on the day of the conference
  • Promoting the conference in collaboration with staff (including poster designs, social media plan & implementation, event app platform, presenter workshops, news releases, and signage)
  • Planning, developing, and coordinating presenter workshops, webinars, and video recordings with the assistance of student assistants.
  • Providing content for websites and social media platforms
  • Ensuring the effective operation of the online databases, event app platform, and email marketing system

 Requirements: 

  • At least one year of related experience in a professional office setting
  • Strong proficiency in MS Office & Adobe, Access preferred
  • Familiarity with databases and web-based applications
  • Excellent verbal and written communication skills
  • Demonstrated ability to prioritize and balance work in fast paced environment
  • Must possess a high degree of independent action, judgment and initiative and strong problem-solving skills
  • Excellent organizational skills and attention to detail
  • Strong interpersonal skills with the ability to work with a diverse population
  • Ability to adhere to a strict policy of confidentiality and ethical standards

 

The Event Assistant role is a part-time contract position (20 hours per week, 4 hours per day, for approximately 3 months) onsite in Amherst.  The pay rate is $28.00 per hour. Interested or want to learn more? Reach out or apply today.
